Rounds and sign-off
Rounds included, comment statuses, Ready for review, approval and extra requests.
A round is one pass of feedback and fixes. Rounds give every review a clear shape: the client sends feedback, you work through it, they check it, and at the end they sign off.
Rounds included
In Project details, set Rounds included. With 3, the review shows "Round 2 of 3" to you and your client. 0 means unlimited, and the page just says "Round 2".
1. The client sends feedback
The client comments, then presses Send my feedback. You get an email ("Feedback is in") and the comments show in your inbox. If they add more later, they press Send 1 more, and you hear about that too.
2. Work through it with statuses
Every comment has a status. Set it from the status menu on the comment, or with a key when the comment is selected:
Status | Key | What the client sees |
|---|---|---|
To do | T | Open |
Question | Q | Designer has a question |
Fixed | F | Fixed — have a look |
Won't do | W | Not changing, with your reason |
New request | N | Extra request |
Won't do asks for a short reason. Your client sees it next to their comment, so keep it short and kind.
Replies you write on a comment are visible to the client. Use an internal note for anything only your team should see.
3. Ready for review
When the round is done, press Ready for review. Add an optional Feedback by date and a note for your client ("Homepage and About are updated. The menu is next round."). For an image review you can upload the updated image.
Press Start the next round. If the project has a client email and email is set up, the client gets "8 of 9 changes are done. Have a look". Otherwise, copy the link from the toast and send it yourself.
What carries into the new round: everything still open. Won't-do items and fixes the client already said look good stay behind as history. Use Round details to look at an earlier round.
4. The client checks
The client sees What changed and marks each fix Looks good or Not quite. "Not quite" sends it back to you with a note.
5. Approval
The client presses Approve. If they haven't looked at the mobile size this round, the review switches to it first, so mobile can't be skipped (image reviews skip this step). Then they confirm with their name and an optional note.
You get an email ("Approved: project name") with a link to the approval record. If the project has a client email, the client gets a copy too.
The approval record
The approval record is a read-only page that shows:
- who approved, the date, the time and the round
- their note, if they wrote one
- every comment included, with its final status
Anyone with the review link can open it, and it has a Print or save as PDF button. Keep it with your contract.
Extra requests
Once a round is approved, any new comment is marked New request automatically, and the client sees "Extra request — after approval". That's your cue to quote for it, or to include it if you want to.
Pausing comments
Use Pause comments while you work if you don't want new comments to arrive. The client can still read the review. Resume comments opens it again.
